1. About Photofitr
Photofitr is an independent photo-preparation utility. It helps users crop, resize, compress, format and review photographs for passports, visas, identity documents, examinations and other application processes. Photofitr is not a government agency, embassy, consulate, passport authority, visa authority or application-processing centre, and it is not endorsed by those organisations.
2. Eligibility and authority to use a photo
You must be legally capable of entering into these terms. If you use Photofitr for another person, including a child, you confirm that you are authorised to provide and process that person's photograph and application information. A parent or legal guardian must supervise use involving a minor.
3. Your responsibilities
You are responsible for:
- choosing the correct country, authority, application route and document type;
- checking the latest instructions issued by the authority receiving your application;
- ensuring that you have the right and consent to use every photograph you submit;
- reviewing the preview, dimensions, file format, file size and validation results before downloading or submitting a photograph; and
- keeping your device, browser, downloaded files and payment method secure.
4. Photo requirements and acceptance decisions
Photofitr reviews and summarises requirements from sources believed to be authoritative. Requirements, portals and authority practices can change without notice. The receiving authority makes the final decision on whether a photograph or application is accepted. Photofitr does not guarantee acceptance, approval, appointment availability, processing time or any immigration, passport, visa or identity-document outcome.
Automated or visual checks can identify common risks but cannot detect every issue, including matters that depend on human judgment, the applicant's identity, undisclosed medical circumstances, printer behaviour or a receiving authority's internal systems.
5. Local and temporary processing
Photofitr uses a local-first architecture for supported operations. Some features may require temporary server processing where an operation cannot be completed reliably on the user's device. The applicable processing method is described in the interface and Privacy Policy. You retain ownership of your photograph and grant Photofitr only the limited permission needed to perform the operation you request.
6. Accounts and order information
Photofitr may allow one-time use without an account. Where an account, order reference or download link is provided, you must keep access details confidential and notify us promptly if you believe they have been misused. We may require reasonable information to verify an order before providing support, a replacement download or a refund.
7. Prices, taxes and payments
The price and currency shown before payment apply to that transaction. Payment methods may vary by country, device and payment provider. Banks, wallets or payment providers may apply their own fees, foreign-exchange rates or verification requirements. Unless stated otherwise, displayed prices include applicable indirect taxes only where required and supported by the checkout.
Payment processing is provided by third parties. Photofitr does not store complete card or bank-account credentials. A payment is complete only when the payment provider confirms it.
8. Digital delivery and refunds
Paid products are digital files prepared to the selections and photo supplied by you. You must inspect the free preview and displayed requirement summary before purchasing. Except where required by law, a completed digital download is not refundable merely because you change your mind, selected the wrong application route, supplied an unsuitable source image or the receiving authority rejects the application for a reason outside Photofitr's control.
Contact us if you were charged more than once, did not receive the purchased file, or received a file that materially differs from the confirmed settings because of a Photofitr error. Where we verify the issue, we may provide a corrected file, replacement access or refund, as appropriate. Nothing in these terms limits non-excludable consumer rights.
9. Permitted use
You may use Photofitr for lawful personal, family or authorised business purposes. You may not:
- process a photograph without the subject's permission or other lawful authority;
- use the service for impersonation, identity fraud, forged documents, harassment, surveillance or any unlawful activity;
- upload malware, exploit code or content intended to disrupt or test the service without written permission;
- circumvent payment, access, usage, security, rate-limit or bot-protection controls;
- scrape, copy, resell or commercially reproduce substantial parts of the service or requirement library without permission; or
- reverse engineer the service except where applicable law expressly permits it.
10. Intellectual property
Photofitr's software, interface, brand, original text, graphics and arrangement are owned by or licensed to the Photofitr operator and are protected by applicable intellectual-property laws. Government names, document names and third-party brands belong to their respective owners. Their appearance is descriptive and does not imply affiliation or endorsement.
11. Third-party services and links
Photofitr may link to government portals and use third-party hosting, payment, analytics, bot-protection, email or support services. Those services operate under their own terms and privacy policies. Photofitr is not responsible for the availability, content or decisions of an external website, authority or service provider.
12. Availability and changes
We may maintain, update, suspend, replace or discontinue any part of Photofitr. We do not promise uninterrupted or error-free availability. Features can behave differently across browsers, devices, operating systems, camera formats and network conditions. You should retain your original photograph and any downloaded file needed for an application.
13. Disclaimers
Photofitr is provided on an “as available” basis. To the maximum extent permitted by law, we exclude implied warranties that can legally be excluded, including warranties of uninterrupted availability, fitness for a particular application process and guaranteed acceptance. We do not exclude responsibilities that cannot lawfully be excluded.
14. Limitation of liability
To the maximum extent permitted by law, Photofitr and its operator are not liable for indirect, incidental, special or consequential loss, loss of opportunity, travel costs, missed appointments, application fees, authority decisions, loss of data or losses caused by inaccurate user selections, unsuitable source photographs, external portals or third-party services.
Where liability cannot be excluded, Photofitr's aggregate liability arising from a paid transaction is limited to the greater of the amount you paid for that transaction or the minimum amount required by applicable law. This limitation does not apply to fraud, wilful misconduct, death or personal injury caused by negligence, or any liability that cannot lawfully be limited.
15. Indemnity
To the extent permitted by law, you agree to reimburse Photofitr for reasonable losses, claims and costs resulting from your unlawful use of the service, infringement of another person's rights, or material breach of these terms. This does not apply to losses caused by Photofitr's own breach or negligence.
16. Suspension and termination
We may restrict or stop access where reasonably necessary to prevent fraud, abuse, security threats, legal violations or material breaches of these terms. Provisions intended to survive termination—including intellectual property, payment obligations, disclaimers and liability limits—remain effective.
17. Governing law and disputes
These terms are governed by the laws of Singapore, without limiting any mandatory consumer protection available to you in your country of residence. Before starting formal proceedings, please contact us and allow a reasonable opportunity to resolve the matter. Subject to applicable consumer rights, the courts of Singapore have non-exclusive jurisdiction.
18. Changes to these terms
We may update these terms to reflect product, legal, provider or business changes. The revision date appears at the top of this page. Material changes apply prospectively from publication unless a different date is stated or applicable law requires otherwise.
19. General provisions
If a provision is unenforceable, it will be limited or removed only to the extent necessary and the remaining terms will continue. A delay in enforcing a right is not a waiver. These terms, together with the Privacy Policy and any transaction-specific terms shown at checkout, form the agreement between you and the Photofitr operator concerning the service.
